Users

Overview

The Users page (ADMIN) shows everyone in your organization: what license each person holds, which groups they belong to, and what they've been working on. A KPI row at the top summarizes total users, who's active now, task counts, and generations.

Users and crew

Loft knows two kinds of person. A user has an account, signs in, and holds a seat. Crew are the people you manage, schedule and budget who never sign in: a record with a name, a role and maybe an email, but no account and no seat. A crew list for a show is mostly crew; the handful who will actually work in Loft are users. The Users page lists users; crew appear in their own section below, and they are not counted as users.

Crew can become users later. Inviting someone who is already crew promotes the same record when they accept, so their roles, rates and assignments stay with them.

Adding people

Users join by invitation. Accounts and seats live in the portal, so an account created inside the app would have no way to sign in and no seat attached to it. Crew are simply added. There are two ways in:

  • Import people — paste a list and let Loft do the rest (below). Use this for a crew, a department, a whole show, whether they are users, crew, or a mix.
  • Invite one — opens your organization page for a single invite.

Import people

Import people takes whatever you have. Paste cells from a spreadsheet, an email thread, a call sheet, a crew list, or upload a CSV or Excel file. There is no template and no header row to match. Loft reads the list, finds each person, and shows you a plan: who is new, who is already a member, who already has an invite pending, and who has no email yet. It proposes a group for each person from the groups you have, based on their department or title, and tells you what it decided.

  • Choose the default first: invite them as users, or add them as crew. Then flip anyone in the plan the other way — a new person's Outcome column is a switch.
  • Every cell in the plan is editable — fix a name, add a missing email, change the group or seat.
  • Or say what's wrong in words ("Sam is in Comp, not Lighting", "skip the vendors") and the plan updates.
  • Uncheck a row to leave that person alone. Nothing is sent until you press the button.
  • Commit sends one invite per new user. Their group and seat are applied the moment they accept, so they arrive able to work.
  • Crew rows are written immediately as records. No email is needed, nothing is sent, and no seat is used.
  • Someone already here only changes group; seats for existing members are assigned on the organization page.
  • Only the organization owner can send invites. Anyone who can manage users can prepare the plan and add crew.

The assistant knows this too: paste the list into the chat, or attach the spreadsheet, and say "add these people". It opens the import with the plan ready for you to check.

License

Each person shows the seat they hold — Free, or the name of a paid tier. The license is a ceiling: it sets the most a person can do, and their group decides what they actually do within it. Free members can browse and build but cannot run generation. Seats are assigned on the organization page.

Groups

A person's groups are listed on their row — click one to open it. To change membership, open the user (click their name) and use the Groups section, or work from the other direction on the group's Members tab. An amber group chip means the membership points at a group that no longer exists and grants nothing.

Removing someone

The organization owner can remove a member with the icon at the end of their row. This releases their seat back into the pool and revokes their access; their work stays where it is. The owner cannot be removed, and you can't remove yourself.
